Why Aren't My TXPs Showing Up in the Date Range I Expect?

If you are looking at a date range and some Treatment Plans (TXPs) seem to be missing, it is likely due to the Originating Appointment logic.

In TeamCare, we don't track Treatment Plans based on when they were typed into the computer or when the patient finally said "yes." Instead, we anchor all metrics to the Originating Appointment—the specific visit where the need for treatment was first identified (e.g., a New Patient Exam or a Hygiene Recare visit).

The Logic: The "Chain" of Care

TeamCare views every patient visit as the start of a potential "chain" of scheduling events. By anchoring the TXP to the originating appointment, we create a reliable common denominator for your analytics.

  • Tracking Clinical Efficiency: If you want to know how well a Doctor or Hygienist performed in February, you need to see the outcomes of the exams they performed in February.

  • The Outcome Chain: Whether a patient accepts, declines, or schedules that treatment three weeks later, the "seed" was planted at that initial February visit.

  • Consistency: Using the originating date prevents your stats from shifting wildly based on future scheduling changes of the patient or any other misc events.

Key Concept: We look at the "Originating Date" to answer the question: "Of all the treatment diagnosed during exams this month, how much of it is moving forward?"


Understanding the Life Cycle of a TXP

To find your data, it helps to understand the milestones TeamCare tracks:

Originating Appointment

The "North Star." The date of the actual visit where the TXP was born.

Presented At

The date/time the plan was physically shown to the patient.

Accepted At

The date the patient gave the "Green Light" to move forward.

Scheduled Date

The date the future appointment for this treatment is placed on the calendar.

Completion

The date the individual procedure codes are marked as "Completed."

Pro-Tip: Viewing "Completed" Work vs. "Accepted" Work

Because acceptance is tied to the past (the originating exam), it isn't always the best way to see what your team is finishing right now.

If you want to see what is actually being crossed off the list today, navigate to Front Desk Leaderboard > Treatment Plans > Completed.

  • Completion Stats are measured by the underlying procedure records.

  • If you attached 5 codes to a plan, they will appear in the Completed category on the day those specific codes are marked as finished in your clinical software, regardless of when the original exam took place.


Troubleshooting Tip

If you are missing a TXP from your February report, check the patient's history. If the exam (the originating appointment) actually happened on January 30th, the TXP and its conversion metrics will live in your January reports, even if the patient didn't "Accept" until February.
