Communications (Comms) is TeamCare's hub for reaching your patients — from everyday appointment reminders to winning back patients who've fallen off the schedule. It brings texting, automated outreach, campaigns, and AI phone calls together in one place, so your front desk can do more without more manual work.

What you can do with Comms

  • Text patients two-way — send and receive SMS from a shared inbox, with replies landing in real time.

  • Run outreach workflows — systematically follow up with patients who are overdue for hygiene, have unscheduled treatment, or have an appointment to confirm.

  • Launch campaigns — reach a whole batch of patients with a multi-touch, multi-channel sequence and track the return.

  • Put AI on the phones — AI voice agents that place and answer calls for a workflow, book appointments, and log the outcome.

How Comms is organized

Everything lives under the Comms menu, grouped into a few areas:

  • Overview — your starting point and high-level activity.

  • Messages — the two-way texting inbox for patient conversations.

  • Workflows — the outreach engines: Hygiene RecareTreatment PlansConfirmations, and Appointment Requests. Each workflow has its own Overview, Queue, Reporting, Campaigns, and Settings.

  • Admin — the behind-the-scenes setup: SettingsMessaging (channel status & verification), ScriptsCadences, and AI Agents.

The building blocks

Comms is made of a handful of pieces that work together across every workflow. Learn them once and they apply everywhere:

  • The Queue — the live list of patients who need outreach.

  • Outreach attempts — logging each call or contact and its result.

  • Scripts — reusable message templates with patient details merged in.

  • Cadences — automated, multi-touch follow-up sequences.

  • Campaigns — a larger, batched outreach push built on those cadences.

  • AI Agents — voice assistants that handle calls for a workflow.

What you need to get started

Some Comms features have prerequisites:

  • A Messaging subscription — required for texting and email outreach.

  • Business Verification (A2P) — a one-time carrier verification of your practice, required before you can send SMS.

  • A messaging number — the local number you text patients from (purchased once your practice is verified).

💡 Tip: Several Comms features — the Messages inbox, Campaigns, Cadences, and AI Agents — are rolling out to practices in stages. If you don't see one yet, it hasn't been enabled for your practice.
