The Overview page & your "Big 4"

What this is for — The Overview page is your Analytics landing page: a fast, one-screen pulse on the whole practice. The "Big 4" sidebar tells you at a glance whether production, collection, hygiene, and new patients are trending up or down.

How to read this page

The page has two parts: the Big 4 growth sidebar on the side, and the tabbed dashboard in the main area.

The Big 4 growth sidebar ("Practice Growth")

Four core metrics — Production, Collection, Hygiene, and New Patients — each shown across four time windows:

  • MTD — month-to-date

  • YTD — year-to-date

  • 12-Mo — trailing twelve months (the rolling annual total)

  • Qtr Avg — average per quarter

Next to most values you'll see a % change vs. the prior equivalent period — this month vs. last month, this year vs. last year, and so on. Green means up versus the comparison period; red means down. It's the quickest way to see whether you're gaining or slipping.

The tabbed dashboard

Pill tabs across the top of the main card. You may not see all of them — some are permission-gated.

  • Metrics — Your practice's custom KPI tiles. This tab only appears if custom KPI widgets have been configured for your practice.

  • Financial — ProductionCollection, and Collection Ratio at a glance, with links into the detailed financial dashboards.

  • Hygiene — Hygiene visits, pre-appointment, and perio at a glance. Only visible with hygiene-view permission.

  • Patients — New-patient count vs. goal, exam distribution (comprehensive / periodic / limited), and production-per-exam.

  • Treatment Plans — Treatment-plan presentation and acceptance rates for the period.

The filter bar

A single date filter controls the whole page: Daily / Weekly / Monthly / Custom. Change it and every tab (and the numbers below) update to match. The page defaults to Monthly. The Big 4 sidebar has its own fixed windows (MTD/YTD/12-Mo/Qtr Avg) and isn't changed by this filter. For how the filter and comparisons work in detail, see "Dates, filters & data freshness."

What the numbers mean

  • Production — The dollar value of dentistry completed in the period.

  • Collection — The money actually received in the period.

  • Collection Ratio — Collection ÷ Production, as a percentage. How much of what you produced has been collected.

  • Hygiene (Visits) — Count of completed hygiene appointments in the period.

  • New Patients — Count of first-time patients in the period.

  • % vs. prior period — The change versus the matching earlier window (this month vs. last month, this year vs. last year, etc.). Positive is growth, negative is decline.

  • Production per exam — Production in the period ÷ number of exams in the period.

For power users

  • Where the data comes from. The tab values are drawn from TeamCare's core reporting engine, and the KPI Metrics tiles come from your practice's configured custom KPI widgets. The Overview page pulls these together into the shared tabbed dashboard you see.

  • Goals are monthly. Production, collection, hygiene-visit, new-patient, and exam figures are sourced from your monthly goal records. When you switch the filter to Daily or Weekly, the metric values are recomputed from that narrower date range rather than read from the stored monthly totals.

  • Daily view adds scheduled production. On the Daily filter, the top-line Production value reflects completed plus scheduled production for the day (a hover tooltip breaks out Completed vs. Scheduled), so you can see the day's full potential. The Collection Ratio intentionally still uses completed-only production.

  • Big 4 sidebar comparisons. The sidebar looks at a rolling twelve-month window and compares each period to its equivalent earlier period to produce the % difference. The "12-Mo" column is the trailing-twelve-month total.

  • Exam distribution & production-per-exam. Exams are counted from your patient records in the selected range, split into comprehensive / periodic / limited. Production-per-exam is period production ÷ total exams in range (0 when there are no exams).

  • Treatment Plans tab. Presentation rate is the share of treatment plans in range that have a presentation; acceptance rate is the case-acceptance rate for the range.

Common questions

What counts as a "new patient"? A patient seen for the first time within the selected period. The Patients tab compares the count to your new-patient goal for the month.

Why is MTD lower than last month's total? MTD (month-to-date) only counts through today. Partway through the month it's naturally smaller than a full prior month — you're comparing a partial period to a complete one. By month-end it should be comparable.

Why did the Metrics tab disappear (or never show)? The Metrics tab only appears when custom KPI widgets are configured for your practice. If none are set up, the page defaults to the Financial tab.

A tab is missing that a colleague has. Some tabs are permission-gated — Hygiene requires hygiene-view permission, for example. See "How Analytics is organized & who can see what" for how tab permissions work.
