Sharing a Patient's Portal Link

Overview
Every patient has their own personal Patient Portal link. You'll find it right on the patient's profile, where you can open it, copy it to send however you like, or regenerate a fresh one. You can also text a link straight to the patient from the Huddle screen.
For security, portal invite links expire 30 minutes after they're created — so the workflow is designed for sending a link and having the patient use it promptly.
Where to Find the Link
Open the patient's profile (the staff-facing patient page).
Make sure you're on the Profile tab (it's the default view).
In the Patient Profile section, scroll down to the card titled Patient Portal.
The card shows the patient's portal web address in a text box, with three buttons beside it.
The Three Buttons

Copying and Sending a Link
On the Patient Portal card, click the Copy link button (the copy/two-pages icon).
You'll see "Portal link copied successfully!"
Paste the link into wherever you're communicating with the patient (a text, an email, etc.).
Because the link expires in 30 minutes, send it while it's fresh and let the patient know to open it soon.
Texting a Link Directly to the Patient
You don't have to copy and paste — you can send the portal link to the patient by text message from the Huddle screen:
Go to Team Ops → Huddle → Opportunities.
Open the appointment for the patient (see Reviewing Incoming Patient Forms in Huddle for navigating this screen).
Use the Text magic link to patient action to send their portal link by SMS.
This texts the patient a fresh link so they can tap it right on their phone.
When a Link Expires
Portal invite links are valid for 30 minutes. If a patient tries an old link, they'll be told it has expired. To fix it:
Return to the Patient Portal card on the patient's profile.
Click Regenerate link (the circular-arrows button).
Copy or open the new link and send it again.
Frequently Asked Questions
Q: Why does the link expire so quickly? The 30-minute window is a security measure — it keeps a link from working long after it was sent, in case a message is forwarded or seen by someone else. If it lapses, just regenerate a new one.
Q: Can I reuse the same link tomorrow? No. Generate (or regenerate) a link when you're ready to send it. An old link won't work the next day.
Q: Who on my team can share a portal link? Any staff member who can open the patient's profile can use the Patient Portal card to open, copy, or regenerate the link.
Q: Does opening the link myself use it up or lock the patient out? No. Opening the link to preview it doesn't consume it or prevent the patient from using it within the 30-minute window.
Q: What does the patient have to do after they tap the link? They confirm their date of birth to verify it's really them, then they're in — no password required.
Q: Is there an email button on the profile card? The profile card gives you Open, Copy, and Regenerate. To send by text message, use the Text magic link to patient action on the Huddle screen. For email, copy the link and paste it into your email.
