Managing Checklist Templates

Overview

checklist template is the reusable definition behind every checklist — the tasks, the owning team, and the schedule. Set a template up once and TeamCare generates a fresh working checklist from it each period. Managing templates is how team leads and admins control what routines the practice runs.

Where to Manage Templates

Templates are managed from Checklists → Templates, or via the Manage and New Checklist options in the checklist widget's menu.

What a Template Defines

  • Title — the name of the checklist.

  • Team — Front Desk, Clinical, Hygiene, or Billing. This controls how the template is grouped and badged in the queue.

  • Frequency — Daily, Weekly, or Monthly, which sets when each working copy is due.

  • Items — the list of tasks (item templates) that become the checklist's items each period.

Each period, TeamCare generates a working checklist from the template, and its items are created from the template's tasks.

Permissions

  • Creating or editing templates requires manage permission for checklists.

  • Team members with read-only access can still view, open, and complete checklists — they just can't change the templates themselves.

Completion Metrics

TeamCare tracks a completion rate across checklists — the share that were fully completed — so leads can see how consistently routines are being followed over time.

Q: Who can create or edit templates? Anyone with manage permission for checklists. Read-only users can complete checklists but not change templates.

Q: If I edit a template, does it change checklists already in progress? Templates define new working copies going forward. Edit the template to shape future checklists; already-generated checklists reflect the template as it was when they were created.

Q: How do I add or remove a task? Edit the template and adjust its items. The change applies to working checklists generated afterward.

Q: How do I see how well we're keeping up? Use the completion metrics, which report the share of checklists that were fully completed.
