Syncing Reviews from Google

TeamCare automatically pulls your practice's Google reviews into the Reviews section so your team never has to copy them over by hand. This article explains how the sync works, how to connect your Google location, and how to control it.
How the Sync Works
Once your practice is connected to a Google listing, TeamCare checks for new Google reviews automatically, every hour. Any new review it finds is imported and then:
Matched to a patient and the staff who treated them (see Attributing Reviews to Staff),
Added to your Reviews dashboard and leaderboard,
Sent out as a "New Review" notification (if it meets your star threshold),
Credited toward the Five-Star incentive if it's a 5-star review and the incentive is on.
You don't need to trigger anything — new reviews simply appear.
Connecting Your Google Location
The sync is keyed to your practice's Google Place ID — the unique identifier for your Google Business Profile listing. This is set on your practice's location/address:
Go to your practice's location/address settings (Settings → Company Settings → Practice).
Start typing your practice address; choose your business from the Google Places suggestions.
Selecting the correct listing stores its Google Place ID behind the scenes.
Setting or changing the Google listing kicks off a one-time backfill of your existing Google reviews so your history is populated. This initial import is silent by design — it does not send a flood of "New Review" emails or trigger incentive payouts for old reviews. Only reviews that arrive after the initial import fire notifications and incentives.
If your Reviews section is empty, the most common cause is that no Google listing (Place ID) is connected. Confirm your practice address is set from the Google Places picker.
Turning the Sync On or Off
The sync toggle lives in Settings → Marketing → Reviews → Notifications:
Enable Reviews Sync — "Allow auto syncing reviews from external platforms."
Sync is on by default. Turn it off only if you want to stop importing reviews automatically.
What Gets Imported
For each Google review, TeamCare captures:

Star-only reviews (no text) are supported and show as "Star rating only."
Frequently Asked Questions
Q: How soon after a patient posts a Google review will it show up? The sync runs hourly, so new reviews typically appear within an hour.
Q: I just connected my Google listing — why did all my old reviews come in at once with no emails? That's the one-time backfill. It imports your review history quietly, without sending notifications or triggering incentive payouts, so your team isn't flooded. Going forward, new reviews notify normally.
Q: Can I import Facebook or Yelp reviews automatically too? The automatic sync is for Google. Reviews from other platforms can be logged manually.
Q: Nothing is syncing. What should I check?
A Google listing is connected (Place ID set via the address picker). 2) "Enable Reviews Sync" is on under Settings → Marketing → Reviews. 3) Your practice is fully set up/active.
Q: Where do the Google/Facebook/Yelp links in Review Requests fit in? Those public profile URLs belong to the Review Requests feature (they tell patients where to leave a review). The Reviews sync reads your Google listing via its Place ID, which is separate.
