What Is the Huddle?
Last updated: July 22, 2026
Overview
Huddle is the Team Ops tool for your daily morning huddle. It walks the team through the day's scheduled appointments — hour by hour — so you can spot revenue and care opportunities before the patient arrives, and manage the check-in interactions tied to patient intake forms and consents.
Instead of digging through separate screens for each patient, Huddle brings the day's relevant information together in one place: who's coming in, what care or revenue opportunities they represent, and whether their paperwork is ready.
The Two Jobs of the Huddle
For every appointment on the schedule, Huddle answers two questions at a glance:
What opportunities does this patient represent?
Hygiene — the patient (or a family member) is due for a recall/hygiene visit.
Treatment — the patient has diagnosed, planned treatment that isn't scheduled yet.
Balance (billing) — the patient owes an outstanding balance.
Is the patient ready to be seen?
How far along they are on their patient intake forms and consents, plus one-click tools to send them their portal link so they can finish.
Read-and-Act, Not a Separate Record
Huddle doesn't keep its own list or change anything on its own. It reads live from existing TeamCare data — appointments, continuing (recall) care, treatment plans, account balances, and patient-form status — and reflects the current state of those records. The actions it offers (open the appointment, present treatment, text the portal link) are what move a patient forward.
How the Day Is Organized
Huddle is laid out by hour of the day:
A date filter at the top defaults to today; change it to review or prepare for another day.
An hour navigation bar shows a bubble for each hour that has appointments, with a count.
Selecting an hour shows an appointment card for each appointment in that hour.
See Reviewing the Daily Opportunities Screen for the full layout.
Where to Find It
Huddle lives under Team Ops → Huddle → Opportunities.
Frequently Asked Questions
Q: Is the huddle only useful first thing in the morning? No. While it's built for the morning team huddle, you can open it any time to check the current or upcoming hour, and you can set the date filter ahead to prep for a future day.
Q: Does Huddle change anything in a patient's chart? No. It's a read-and-act view. Records only change when you take a specific action elsewhere — booking a visit, presenting treatment, or when a patient completes a form.
Q: What if an appointment has no patient attached? Opportunities and form status are pulled from a patient record, so an unlinked appointment can't show them. Huddle flags it so you can link it to a patient. See Reviewing the Daily Opportunities Screen.
