Cadences

Cadence is an automated, multi-touch follow-up sequence — a planned series of contact attempts across channels, timed relative to a key date. Cadences let a workflow reach out consistently without someone remembering every step.

Where to manage them

Go to Comms → Admin → Cadences. Cadences are grouped by scenario (Hygiene reactivation, Appointment confirmation, etc.). Click New Cadence to create one.

💡 Tip: Cadences must be turned on for your practice. If you see "Cadences are not enabled for this practice," an admin can enable them from Company Settings.

What a Cadence is made of

Each cadence has a Title, a Scenario, and an ordered list of Attempts. On the Cadences list, each card shows the number of attempts, a plain-English summary (e.g. "Reaches out 3 times, beginning 7 days before the appointment and ending on the day of the appointment, by Email and SMS"), and per-channel badges.

What an Attempt is

Open a cadence and use Add Attempt. Each attempt is a combination of:

  • When — BeforeAfter, or Same Day relative to the trigger, plus the number of Days (or Hours for same-day). Confirmation cadences count down to the appointment; recare cadences count up from when a patient becomes overdue.

  • Channel — Phone, Email, SMS, or AI Call.

  • Script — the message to send (AI calls need no script — the AI handles the conversation).

Channel availability

  • Phone is always available.

  • Email requires an active Messaging subscription.

  • SMS requires the subscription plus A2P carrier verification.

  • AI Call requires the AI Voice feature.

Channels you haven't set up appear locked with a short "requires Messaging setup" prompt.

Default cadences vs. your own copy

TeamCare ships ready-made Default cadences (marked "Default template"). You can use them as-is, or customize one — the first time you save changes, the system automatically creates your practice's own copy so the default stays intact. Default cadences can't be deleted.

How cadences connect to workflows and campaigns

A cadence is tied to a workflow by its scenario, and a workflow's Settings tab is where you reach its cadence. Cadences also power Campaigns — when you build a campaign you pick a cadence as its follow-up sequence.
