Review Requests — Overview

What Review Requests Does

Review Requests helps your practice collect more online reviews from happy patients. After a patient's visit, TeamCare can automatically text them a link asking how their appointment went. Patients who had a great experience are guided to leave a public review on Google, Facebook, or Yelp — building your practice's online reputation with almost no staff effort.

How the Review Funnel Works

Review Requests uses a rating-first funnel so you capture private feedback before asking for a public review:

  1. The request is sent. The patient receives a text message with a short link (or a staff member shows them a QR code at checkout).

  2. The patient rates their visit. Tapping the link opens a simple 1–5 star screen.

  3. Happy patients are routed to public reviews. After choosing a rating, the patient sees buttons to review your practice on GoogleFacebook, and Yelp.

  4. Every rating is recorded internally. Whether or not the patient continues to a public platform, their star rating is saved in TeamCare so your team can see how patients feel.

This approach directs enthusiastic patients toward the review sites that matter most while still giving you visibility into all feedback.

The Three Ways a Request Can Go Out

At checkout, your team chooses how each patient's review request is handled:

  • Auto-Send — TeamCare sends the review text automatically a set number of minutes after the appointment.

  • Ask Patient — Staff ask the patient in person and can show a QR code or send the text on the spot.

  • Do Not Send — Skip this patient (either just for today, or permanently opt them out).

Requests are also created and controlled from the Reviews tab of the appointment checkout screen, which is where most day-to-day sending happens.

What You Need Before You Start

To send review requests by text, three things must all be true:

  1. The feature is enabled — the "Enable Review Requests" toggle is on in Settings. See Setup & Company Settings.

  2. Text messaging is active — your practice has an approved A2P messaging registration (Business Verification). See A2P & Message Templates.

  3. The patient can receive texts — they have a mobile number on file and haven't opted out of review requests.

If any one of these is missing, the request won't send and will wait as pending until the issue is resolved.
