The Schedule View: Openings & Fill Rate

The Schedule view is your smart calendar — it shows your appointments, your open chair time, and how full you are, all on one screen. It's the fastest way to spot the gaps you can still fill today or this month.
Find it under Schedule → Schedule (/schedule/availability) — the first item in the Schedule navigation.
What You're Looking At
The page is a calendar with a layers legend down the side. Each layer can be toggled on or off so you can focus on what matters:

💡 Tip: The Available Slots layer is your open chairs. Turn off the other layers to see, at a glance, exactly where you have room to book patients.
Note: If your practice uses manual scheduling, the openings layer is labeled Available Intervals instead of Available Slots — same idea.
The Metrics Panel (Fill Rate & Hours)
A Metrics panel shows four live tiles for the selected day or month:
Tile | What it means |

Fill Rate | The share of your chair time that's booked — occupied hours ÷ total chair hours |
Hrs Capacity | Total chair hours available (filled + open) |
Hrs Filled | Chair hours already booked |
Hrs Available | Open chair hours still to fill |
Fill Rate is simply Hrs Filled ÷ Hrs Capacity, shown as a percentage. So if you have 40 hours of capacity and 30 are booked, your fill rate is 75% and you have 10 open hours to fill.
Filters
You can narrow the calendar and metrics with:
Appointment Type — defaults to Cleaning (hygiene); pick another type to see openings and capacity for it.
Patient Type — New Patient or Returning Patient. This affects the openings layer, since new-patient and returning-patient slots can differ.
Date — switch between a daily and monthly view. The header shows the selected date or month, with a Today / This Month badge.
How to Use It Day to Day
Open Schedule → Schedule.
Pick the day (or month) you want to look at.
Choose the appointment type you're trying to fill (e.g. Cleaning).
Read the Fill Rate tile to see how full you are, and Hrs Available to see how much room is left.
Turn on the Available Slots layer to see exactly when those openings are — then book into them.
Frequently Asked Questions
Q: Where are my open slots on the calendar? They're the Available Slots layer (purple) — or Available Intervals if your practice uses manual scheduling. Toggle the other layers off to isolate them.
Q: What does the Fill Rate tile actually measure? Occupied chair hours divided by total chair hours (filled + available), for the selected day or month and appointment type. It's an hours-based measure of how full you are.
Q: Why do my openings change when I switch Patient Type? Available slots can differ for new vs returning patients, so the openings layer updates to reflect the patient type you've selected.
Q: The page says there's no data source. Why? The Schedule view draws on your practice management system. If your practice isn't connected to a supported PMS, you'll see a notice instead of the calendar data.
Q: Is this the same as the Show Rate or Capacity dashboards? No — this is the live calendar with hours-based fill metrics. For "how many patients showed up," see Show Rate; for "how many hours and patient slots we have," see Capacity.
