Overview

Team Ops is TeamCare's command center for the daily patient flow — the place your team prepares for the day, works each patient through their visit, and closes the day out. It ties together the moments that drive production and patient care: spotting opportunities before a patient arrives, handing patients off cleanly between team members at checkout, capturing the next hygiene appointment and treatment plan, requesting reviews, and running the recurring routines that keep the office on track.

Just as importantly, Team Ops connects every one of those actions to who did it and to the appointment's providers — the treating doctor and the hygienist — so individual and team performance rolls up automatically into the leaderboards.

Team Ops is organized into four areas:

The Four Parts

Huddle

The Huddle is where the team prepares for the day. It walks the day's schedule hour by hour and, for each appointment, surfaces the patient's opportunities (hygiene, treatment, and outstanding balance) and the state of their intake forms and consents — with one-click tools to text the patient their portal link. It's read-and-act: it reflects live data and gives you actions, without changing records on its own.

Checkouts (Handoffs)

Checkouts turn the end of a visit into a structured hand-off. Each appointment moves through a set of checkout activities, and TeamCare tracks which are complete:

  • Patient & Appointment — the visit context (patient, provider, time).

  • Hygiene — capture the patient's (and family's) next hygiene / pre-appointment so no one leaves without their recall booked.

  • Treatment Plan — present and act on the patient's diagnosed, planned treatment.

  • Review — send the patient a review request to build the practice's online reputation.

  • Activities — the running log of what happened at checkout.

Each activity maps to a role — Hygiene Pro (hygiene / pre-appointment), Treatment Presenter (treatment plan), and Reputation Builder (review requests) — and is attributed to the team member who completed it. That attribution is what feeds performance tracking (see How Team Ops Connects Everything, below).

Day Sheets

The Day Sheets area is where the day gets reconciled and closed:

  • Handoffs — the checkout queue described above.

  • Collections — daily collections broken out by provider and payment type.

  • Day Sheets (Publishing) — daily production and adjustment summaries.

Checklists

Checklists are recurring, team-based task lists — opening and closing procedures, daily setup, and weekly or monthly duties — organized by team (Front Desk, Clinical, Hygiene, Billing) and frequency (Daily, Weekly, Monthly). As staff check off tasks, TeamCare records who did what and when, giving you an accountability trail and a completion rate.

How Team Ops Connects Everything

Team Ops isn't four separate tools — it's one workflow around the appointment, and it feeds performance reporting automatically.

  • Every action is tied to the appointment and its providers. Each appointment carries its doctor and hygienist, so opportunities, checkout activities, and outcomes are always connected to the right providers.

  • Treatment plans flow through the whole cycle — flagged as an opportunity in the Huddle, presented and acted on in the Treatment Plan checkout step, and configured under Settings → Team Ops → Treatment Plans.

  • Pre-appointment (booking the next hygiene / recall visit) is captured in the Hygiene checkout step, so patients leave with their recall scheduled.

  • Review requests are triggered from the Review checkout step, letting the front desk build the practice's reputation as part of the normal hand-off.

  • Attribution captures performance from every team member. Because each checkout activity is credited to the person who completed it — Hygiene Pro, Treatment Presenter, Reputation Builder — Team Ops records not just that something happened, but who made it happen.

  • All of it populates the leaderboards. Those attributed activities, together with production, collections, and reactivation outreach, roll up per employee into the Analytics → Leaderboards — the DoctorHygienistFront Desk, and Reactivation boards — so team and individual performance is scored automatically from the day's real work.

Where to Find It

Team Ops lives in its own top-level area, with sub-sections for HuddleCheckouts / Day Sheets, and Checklists. Its configuration (treatment plans, checkout steps) is under Settings → Team Ops, and the performance boards it feeds are under Analytics → Leaderboards.

Q: What's the difference between the Huddle and Checkouts? The Huddle is before the visit — preparing for the patient and spotting opportunities. Checkouts are at the end of the visit — working the patient through hygiene pre-appointment, treatment plan, and review request as a structured hand-off.
